Implementation & support
What happens after you say yes?
Choosing software is the easy half. The hard half is the weeks between signing and the first morning your front desk opens MedStream instead of the register. Here is exactly what those weeks contain, the same five steps for every clinic, none of them optional.
The five steps
How does a MedStream implementation run?
Run by the same Ahmedabad team from first demo to go-live, in person across Gujarat, remotely as standard further afield.
- 01
A demo on your own workflows
Thirty minutes walking your patient journey, registration to discharge, or straight into the embryology lab, on your registers and your billing day, not a canned tour. This is where scope, modules and the migration effort get decided honestly.
Book the demo → - 02
Configuration for your clinic
The modules you take, your UHID format, your document layouts (prescriptions, receipts, discharge summaries, consent forms, in English and Gujarati where you need it), white-label branding throughout, and your choice of your own server in the building or the cloud.
- 03
Assisted data migration
Your patient book moves across with our team's help, from paper registers or from an older desktop system. Patients and back-dated OPD visits bulk-import from Excel in one pass, so day one starts with your patients already in.
How migration from registers works → - 04
Training for every role
On-site and remote sessions for the front desk, nurses, doctors, embryologists and the accounts desk, each on their own workspace, with the permissions that role actually has.
- 05
Go-live, then support
Your clinic goes live under its own name and branding. After that, support that speaks your language is a WhatsApp message or phone call away, and nightly automated off-site backups run whether you chose cloud or your own server.
Have these ready
What should a clinic prepare before implementation?
Nothing here is a blocker, but a clinic that gathers these before the demo goes live noticeably faster.
Your logo and letterhead
So the white-label setup and every printed document carry your identity from day one.
Samples of the documents you print today
A prescription, a receipt, a discharge summary, a consent form, we match the layouts your patients and referring doctors already recognise.
Your registers, or an export from the old software
Whatever holds your patient history now. Excel exports are ideal; paper registers are fine, that's what assisted migration is for.
Doctor list, departments and fee structure
Consultation fees, procedure rates, package prices and any referral arrangements that billing must respect.
Who does what
A simple list of staff and their roles, so every workspace and permission is right before training starts.
A server, or a decision to use the cloud
On-premise runs on a server in your building, often hardware you largely own already. Cloud includes hosting. Either way, backups are automatic.
Included, always
Why is none of this an add-on?
Because software that is installed but not adopted is the most expensive software a hospital can buy. The industry pattern is a licence fee, then migration and training sold separately, and clinics that skip them end up running the register and the software side by side for a year.
So every MedStream engagement includes the demo, configuration, assisted migration, training for every role, support and nightly off-site backups, and your written quote lists all of it, with year-two terms stated upfront. Compare any vendor the same way: over three to five years, all-in.
Implementation questions
What do clinics ask before go-live?
How long does hospital software implementation take?
- It depends on your size and how much history moves across, the honest answer is scoped in the demo, not promised before we've seen your registers. The sequence never changes: a demo on your workflows, configuration, assisted migration, training for every role, then go-live. A small clinic starting fresh and a hospital migrating years of paper records sit at different ends of that range.
Do we have to stop working during migration?
- No. Migration is assisted and staged alongside your working day, patients and back-dated OPD visits bulk-import from Excel, and paper registers are brought across with our team's help. Go-live is scheduled with you, after training, so the front desk never faces an empty system on a busy morning.
Is training included, or charged separately?
- Included. Every engagement covers on-site and remote training for every role, front desk, nurses, doctors, embryologists, accounts, along with the demo, assisted migration, white-label setup, support and nightly off-site backups. None of these are sold later as add-ons.
What support do we get after go-live?
- Support in your language, a WhatsApp message or phone call away, from the same Ahmedabad team that implemented you. Commercial terms for ongoing support and updates are stated in your written quote upfront, so there is no ambiguity later about what is covered.
Cloud or our own server, which is easier to run?
- Both are supported and both get nightly automated off-site backups. On-premise means a server in your building that you own and control, with the data physically with you. Cloud spreads cost monthly and includes hosting, and suits clinics that would rather not maintain hardware. Your data is yours in either case.

- Training, migration, white-label setup, support and nightly off-site backups are included in every engagement, never sold later as add-ons.
- How long it takes depends on your size and history, and is scoped honestly in the demo, not promised before we've seen your registers.
